Explanation and examples of BetterBot handoff emails to prospects and leasing teams.
Based on Dashboard configurations, BetterBot will send notifications to the leasing teams when a prospect indicates that they would like to be contacted, make an appointment, request a brochure, or would like to be notified of unit availability.
Visual Lead Card
- Sent to leasing teams when a prospect wishes to be contacted via email, phone, or text (if enabled).
- If the prospect has searched for a home and indicated the floor plan, budget, and move-in date, this information will be pushed to the guest card / CRM.
- If the prospect has not conducted a search and immediately requests to be contacted, the bot will prompt the prospect for their desired bedroom size, budget, and move-in date.
- These emails can be suppressed if desired by the client.
Visual Lead Card - Availability Notification
- Sent to leasing teams when a prospect wishes to be contacted when a unit becomes available.
- These emails can be suppressed if desired by the client.
Visual Appointment Card
- Sent to leasing teams when a prospect schedules/requests an appointment for a tour.
- The email includes the type of appointment, contact information, date and time of the appointment request, and any search results indicating the prospect's desired floor plan, budget, and move-in date.
- The email includes a call-to-action (CTA) that allows the leasing team to confirm the appointment which will trigger a confirmation email to the prospect.
- If the leasing team needs to reschedule the appointment, the team can use the contact information to set up a more convenient appointment time.
- These emails can be suppressed if desired by the client.
Visual Appointment Email to Prospect
- Email to prospect with details of appointment request stating that the leasing team will be in touch to confirm the appointment.
- The email includes a call-to-action (CTA) that allows the prospect to cancel the appointment which will trigger a cancellation email to the leasing team.
- These emails can be suppressed if desired by the client.
Visual Cancellation Email
- Sent to leasing teams when a prospect cancels an appointment request.
Visual Email Confirming Appointment
- Email to prospect confirming the appointment (triggered by the CTA on the Visual Appointment Card to the leasing team.
- This email has configurable text instructing the prospect on needed information and/or protocols in place once arriving at the property.
Visual Brochure Email
- Email sent to the prospect requesting a brochure to be emailed to them.
- This option will show only if a PDF brochure is uploaded to the BetterBot dashboard.
